Office Support Assistant

Position Overview:

To provide administrative support.



Job Functions:

  • Answer incoming phone calls and transfer to appropriate person
  • Check phone message line in morning and after lunch
  • Assist with sub‐contractor invoices, releases, payments
  • Reconcile invoices with statements & summary invoices
  • Match up invoices with delivery tickets
  • Enter invoices and reconcile invoices to statements
  • Filing –paid invoices, sub‐contractors contracts and certificate of insurance
  • Email correspondence
  • Check incoming mail, date stamp and distribute to appropriate person
  • Process releases for payment
  • Process NTO (Notice to Owners)
  • Set up new vendors in accounting system
  • Assist with banking deposits
  • Able to assist others in the office when needed
  • Able to communicate with co‐workers, supervisors, vendors and sub‐contractors
  • Assist in with general housekeeping in office


  • Must be able to sit for long periods at a time
  • Standing, stooping, bending, able to pick up at least 5‐10 lbs
  • Strong communication skills
  • Computer literate with knowledge in MS Office Products
  • Able to multi‐task and problem solve
  • Accounting Skills
  • Knowledge of how to work small office equipment
